As An Administrative Assistant Your Responsibilities Will Include

  • Working independently and within a team environment to support the client service staff to produce high quality client deliverables
  • Assistance with formatting audit proposals in accordance with firm standards
  • Providing support to assurance service line leadership
  • Collaborate with the audit team and internal client service members
  • Assembling year end packages (tax returns, financial statements, letters)
  • Managing electronic and paper-based client files
  • E-filing as required
  • Format financial statements in compliance in Firm standards
  • Preparation of letters and reports using firm templates in compliance with Firm standards
  • Proof-read, review for quality and verify content before finalizing any client deliverables
  • Preparing hard files for clients based on requests from the external client service team and new client setup processes
  • Participate in training and stay current with Doane GT software
  • Coordinating the standardized billing process, including proactively running related reports and drafting bills and accompanying analyses, distribution of invoices
  • Assist in the preparation and submission of time and expense reports for the partner(s) supported
  • Using D365 application to track, maintain and report on client relationships
  • Plan and coordinate cost-effective and sometimes complex domestic and international travel arrangements and itineraries for individuals and groups
  • Preparing for client meetings, catering, and meeting materials (e.g., presentations, handouts, minutes, etc.)
  • Being responsible for the duties of frontline reception as needed
  • Being available for other duties as assigned

  • 1-2 years of administrative experience
  • Excellent written and verbal communication skills with an aptitude for building strong client relationships
  • Strong multitasking skills to meet tight deadlines and ensure timely deliverables
  • Advanced working knowledge of MS Suite, Visio, Adobe Acrobat, etc
  • Strong Word processing skills
  • Strong negotiation skills with a problem-solving attitude & innovative thinker
  • Proven experience in providing exceptional client service
  • Takes initiative and direction and is a self-directed learner
  • Demonstrates sound judgment regarding confidential and sensitive matters
  • Available to work overtime during peak tax filing seasons

Our salary ranges are reviewed annually, and where you land within the range depends on a mix of factors—your background, your skills, and how your contributions align with internal equity. To help start the conversation, the current salary range for this role is $43,500–$61,500 in Vancouver. If the role is available in other locations, the range may differ to reflect local market factors.

This role is required to be onsite, in-office five days each week.
