As an integral member of the School of Energy, the Administrative Assistant provides comprehensive support to the Dean, Chair, Advisor, Coordinator, Faculty, and students.
Key Responsibilities
- Provide daily clerical and administrative support to faculty and staff within the School of Energy.
- Prepare and manage correspondence, meeting minutes, reports, and departmental documentation.
- Act as a liaison with internal departments and external clients to coordinate communications.
- Support students with inquiries, applications, registrations, and referrals to appropriate services.
- Assist with scheduling courses, exams, meetings, and other departmental activities.
- Serve as the first point of contact for walk-ins and phone inquiries, ensuring excellent customer service and directing inquiries appropriately.
- Maintain organized administrative files, supply inventories, and student databases.
- Assist with planning and executing departmental events, including booking rooms, arranging catering, and preparing promotional materials and agendas.
- Process financial transactions, including purchase orders, visa reconciliations, and expense claims, and review financial reports using PeopleSoft.
- Ensure compliance with Lakeland College policies and procedures.
Job Requirements
- Two-year Diploma and three years’ related experience.
- Excellent interpersonal skills with external and internal contacts.
- Required to regularly exercise considerable judgement based on the nature of the issue i.e. sensitivity, confidentiality or urgency.
- Considerable knowledge of office procedures and operational processes.
- Excellent computer skills in Word Processing, Excel, Outlook. PeopleSoft experience would be considered an asset.
Additional Information
This is a Full-time Permanent AUPE appointment at the Lloydminster campus commencing August 24, 2026. The current salary range is $48,817 - $61, 524 per annum and includes a generous benefit package and pension plan.
