Engineered Air is seeking a dynamic, results oriented individual to fill the role of Administrative Assistant for our Kelowna Sales Office. This is a part-time position, requiring 6 hours per day, 2–3 days per week. Engineered Air is looking for an individual desiring a long-term employment opportunity. Engineered Air is seeking a dynamic, results oriented individual to fill the role of Administrative Assistant for our Kelowna Sales Office. This is a part-time position, requiring 6 hours per day, 2–3 days per week. Engineered Air is looking for an individual desiring a long-term employment opportunity. Responsibilities
- Answer and transfer telephone calls to the appropriate individuals.
- Greet customers and offer support to meet their needs.
- File orders, reports and other files as required.
- Order entry and tracking of submittal drawings, approvals, and production schedules.
- Review submittal drawings and compare to order entry for accuracy and report discrepancies.
- Administer parts orders.
- Maintain and order office supplies as needed.
- Prepare and drop off bank deposits.
- Tracking invoice aging reports.
- Compile credit response and submit report on over 60 day accounts
- Monitor customer account details for non-payments, delayed payments and other irregularities.
- Maintain accounts receivable customer files and records.
- Manage credit applications and updates as required.
- Carry out billing, collection and reporting activities according to specific deadlines.
- Manage office calendars including salesperson daily meetings and board room bookings.
- Other duties as assigned.
- Minimum 3+ year's administration experience in a multi-person office setting.
- Knowledge of reviewing submittal drawings for accuracy and report discrepancies would be an asset.
- Ability to create and automate data entry and retrieval from within Excel or other Microsoft programs would be a definite asset.
- Advanced skill level in Microsoft Word, Excel, and Outlook is required.
- Must possess a high level of verbal and written communication skills.
- Strong organization skills and attention to detail, with a great level of accuracy.
- Should be a team player and have the ability to work independently.
- Strong customer service skills are a must.
