Responsibilities
Join our compassionate team in providing exceptional front-line customer service to cemetery clientele and bereavement industry professionals. The Cemetery Clerk position assists families with cemetery lot sales and interment requests, and also handle key administrative tasks like payroll, bank deposits, invoicing, and payment processing for multiple cemeteries and mausoleums. Responsibilities
- Provide administrative support to the Manager and Supervisor of Cemeteries.
- Deliver high-level customer service as the first point of contact for cemetery customers, requiring knowledge in various areas of the bereavement industry.
- Meet with families to discuss cemetery options, products, and services, and complete sales and associated paperwork.
- Use the cemetery system for general inquiries, entering payments, and producing reports and certificates.
- Respond to inquiries from bereavement industry partners (e.g., funeral homes, monument dealers) with accurate information.
- Utilize the cemetery system and other resources to receive, input, and distribute paperwork for interments and maintenance work.
- Maintain accurate cemetery records and ensure required documents are received.
- Sell and book events at the Dedication Centre.
- Complete cemetery sales in the cemetery system.
- Perform administrative tasks, including filing, scanning, and photocopying.
- Receive, enter, and verify orders for memorialization.
- Generate invoices and mailings related to accounts receivable using the cemetery system.
- Use SAP to input accounts payable and review cemetery accounts.
- Prepare various presentations and duties for special events.
- Edit and upload sales material to the cemetery website.
- Balance payments and enter deposits into the deposit slip system daily.
- Enter weekly time entries into PeopleSoft and maintain accurate personnel reports.
- Receive, verify against bylaws and the cemetery system, and process foundation orders.
- Performs other related duties as assigned.
- Minimum Grade 12 diploma or equivalent.
- Minimum 6 months related experience in administration.
- Valid MTO full class ‘G’ driver license in good standing and have access to a personal vehicle to travel between locations.
- Available to work various hours including weekends.
- High level of accuracy and well-developed keyboard skills.
- Excellent organization skills with an ability to manage multiple tasks and deadlines and proven ability to work independently.
- Ability to deal with competing priorities; anticipate needs, gather, and compile information as requested; maintain accurate records.
- Excellent public relations and sales skills.
- Highly developed coping skills to deal with emotional and stressful situations.
- Excellent interpersonal, written and verbal communication skills to complete forms (e.g. Certificate of Interment Rights and Cemetery Contracts), and to provide information and customer service to the public and bereavement industry professionals.
- Human relations and communication skills, using courtesy, tact, and sensitivity, to deal with customers experiencing loss and bereavement industry professionals.
- Mathematical skills to process sales, invoices and prepare bank deposits.
- Skill in the use of a personal computer with the ability to use software programs such as Microsoft Office, Outlook, SAP, payroll.
- Reliable with a good attitude and employment record.
