Clinic Manager

Overview
We're looking for a dedicated and experienced Clinic Manager to take ownership of the clinic's day-to-day back-end operations of our pediatric clinic, directly overseeing our administrative staff while working alongside our physicians as we grow. The ideal candidate will possess a strong background in healthcare management, with expertise in fiscal management and medical office administration. This role requires a proactive leader who can ensure efficient clinic operations while maintaining high standards of patient care and compliance with healthcare regulations.
Responsibilities
- Manage the overall operations of the clinic, ensuring compliance with healthcare regulations and standards.
- Own day-to-day clinic operations: administrative staff scheduling, supply ordering and inventory management, and vendor/supplier negotiations.
- Supervise staff, providing guidance and support to ensure optimal performance and professional development.
- Oversee financial management, including budgeting, fiscal planning, payroll processing and resource allocation.
- Implement and maintain efficient office management practices, including scheduling, patient flow, and our EMR/practice management system and other clinic technology.
- Ensure adherence to PHIPA regulations and maintain confidentiality of patient records.
- Collaborate with healthcare providers to enhance patient care services and improve clinic efficiency.
- Manage human resources functions, including recruitment, training, and performance evaluations.
- Monitor clinic performance metrics and implement strategies for improvement.
- Maintain knowledge of medical terminology, records management, and relevant healthcare policies.
- Be willing to jump in wherever needed, including front desk coverage, as part of a small, hands-on team.
Qualifications
- 4-5 years of proven experience in medical office management or clinic administration.
- Strong supervisory experience with a focus on team leadership and development.
- Familiarity with EMR systems such as Accuro, Oscar, Epic, or similar platforms.
- Knowledge of financial management principles including budgeting and fiscal oversight.
- Understanding of managed care processes and utilization management practices.
- Experience in acute care or critical care settings is preferred.
- Excellent organizational skills with the ability to manage multiple tasks effectively.
- Strong communication skills to interact professionally with staff, patients, and external partners.
- Tech-savvy and comfortable learning new technology quickly, including EMR troubleshooting, AI-driven efficiency tools, and electronic forms.
- 3+ years of experience in Microsoft Excel, used for budgeting, financial reporting, and supply tracking.
- At least 1 year of inventory management experience, including supply ordering and vendor negotiation.
Compensation: $64-80K
Ability to commute/relocate to Windsor, ON
