Position Summary
Based out of St. John's, NL at Avalon Mall, t he Events Coordinator is responsible for planning, coordinating, and executing events, promotions, community partnerships, and experiential marketing initiatives that increase customer traffic, enhance the shopping experience, and support tenant sales performance. This role works collaboratively with retailers, community organizations, marketing teams, contractors, and vendors to deliver engaging events while maintaining operational excellence, safety, and budget compliance. Additional duties of the Events Coordinator include but are not limited to:
Event Planning & Execution
- Develop and execute an annual calendar of retail events, seasonal campaigns, community initiatives, and promotional activities.
- Coordinate all aspects of event logistics including scheduling, vendor management, equipment rentals, permits, entertainment, security, and staffing.
- Ensure events are delivered on schedule, within budget, and in accordance with corporate standards.
- Conduct pre-event planning meetings and post-event evaluations to identify opportunities for continuous improvement.
- Develop contingency plans for weather, operational disruptions, and emergency situations.
- Partner with retailers to encourage participation in centre-wide events and promotional campaigns.
- Coordinate retailer activations, product launches, grand openings, and special events.
- Act as a liaison between tenants and mall management regarding event requirements and operational impacts.
- Promote collaborative marketing opportunities that increase retailer exposure and sales.
- Work closely with the Marketing team to develop event concepts that align with the property's strategic objectives.
- Coordinate community partnerships with local organizations, charities, schools, tourism agencies, and business associations.
- Support social media content creation by providing event information, photography, and promotional materials.
- Represent the shopping centre at community functions and networking events.
- Source, negotiate, and manage vendors, entertainers, decorators, exhibitors, and contractors.
- Obtain quotations and manage contracts in accordance with procurement policies.
- Ensure vendors maintain appropriate insurance, permits, and safety documentation.
- Monitor vendor performance and maintain a preferred vendor database.
- Develop and manage event budgets.
- Track expenditures and ensure cost-effective delivery of programs.
- Prepare event reports summarizing attendance, tenant participation, marketing performance, customer feedback, and return on investment.
- Maintain event schedules, contracts, invoices, and documentation.
- Engages across all levels of the organization to create and promote a safe and respectful work environment.
- Other special projects and tasks as assigned.
- Diploma or Bachelor's degree in Event Management, Marketing, Business Administration, Hospitality, Communications, or a related field.
- 2–5 years of experience coordinating and executing events, preferably within the retail, hospitality, tourism, or commercial real estate sectors.
- Demonstrated experience collaborating with vendors, community organizations, retailers, and a variety of internal and external stakeholders to deliver successful initiatives.
- Experience developing content will be considered an asset , including creation of basic graphic design assets using Canva or similar design platforms.
- Experience managing event budgets, procurement processes, and vendor contracts is considered an asset.
