The Group Event Planner acts as the primary point of contact and relationship owner for assigned group and event clients. This role is responsible for managing the end-to-end planning lifecycle for group programs, ensuring a seamless transition from sale through execution and post-event follow-up.

Working closely with Sales, Food & Beverage, on-site event teams, and internal operations teams, the Group Event Planner focuses on client experience, retention, and revenue optimization while ensuring events are planned accurately and aligned with brand and service standards.

This full-time position is located in-person in Jasper.

Role & Responsibilities

Client & Event Management

  • Serve as the primary client contact for assigned group and event bookings following contract execution
  • Own the full planning lifecycle, including discovery, planning, coordination, on-site presence as required, and post-event follow-up
  • Build strong client relationships to exceed expectations, encourage repeat business, maximize and protect contracted revenue.
  • Proactively identify upsell opportunities and enhancements in partnership with Sales
  • Ensure a seamless handoff from Sales to Event Planning, maintaining continuity and trust with the client

Event Planning & Coordination

  • Lead planning for group programs across transportation, attractions, food & beverage, and hospitality venues at Pursuit, creating a seamless client experience.
  • Develop and manage event documentation including BEOs, timelines, rooming lists, and operational details
  • Coordinate closely with on-site event teams, Food & Beverage, Operations, and other internal stakeholders to ensure alignment and readiness.
  • Conduct site inspections and planning calls to support client confidence and event success
  • Provide on-site event oversight as required to ensure plans are executed as intended

Systems, Accuracy & Process Excellence

  • Maintain accurate and up-to-date records within CRM and booking systems
  • Ensure consistency across menus, pricing, event documentation, and client communications
  • Complete post-event reconciliation and billing for all assigned group bookings
  • Support the Group Event Manager with system updates, menu and collateral maintenance, and SOP documentation.
  • Identify process improvements and contribute to evolving SOPs and planning standards

Team Collaboration

  • Partner with Seasonal Group Event Coordinator by delegating administrative and transactional tasks as required.
  • Collaborate closely with Sales, Marketing, and Operations to ensure aligned messaging and execution

Required Skills & Qualifications

  • Minimum 2 years of experience in event planning, conference services, or hospitality
  • Demonstrated experience managing client relationships across the full event lifecycle
  • Strong organizational and project management skills with high attention to detail
  • Guest-first mindset with the ability to anticipate client needs and solve problems proactively
  • Excellent interpersonal, verbal, and written communication skills
  • Comfortable managing multiple programs and priorities simultaneously
  • Ability to work flexible schedules, including evenings and weekends during peak event periods
  • Proficient in Microsoft Office (Windows environment)
  • Experience with Delphi, Salesforce, or similar CRM/event systems considered an asset
  • Valid Alberta Class 5 driver’s license (or equivalent)
