About the Role





We are looking for a detail-oriented, organized, and people-focused HR & Payroll Administrator to join our team. This is a hands-on role that combines payroll administration with day-to-day HR support. The successful candidate will take ownership of payroll processes, maintain accurate employee records, support employees and managers, and contribute to the development and improvement of HR processes and systems. This is an excellent opportunity for an HR and payroll professional looking to grow their career, expand their responsibilities, and gain broad experience across payroll and human resources.






Key Responsibilities


Payroll Administration







  • Process semi-monthly payroll using ADP Workforce Now.




  • Review and verify timesheets, regular hours, overtime, vacation, statutory holiday pay, bonuses, commissions, and other earnings.




  • Process payroll adjustments, new hires, terminations, pay changes, and other employee updates.




  • Ensure accurate payroll deductions, including CPP, EI, income tax, and other applicable deductions.




  • Respond to employee payroll inquiries and investigate and resolve payroll discrepancies.




  • Prepare and maintain payroll records, reports, and reconciliations.




  • Assist with Records of Employment (ROEs), T4s, year-end payroll processes, and other payroll requirements.




  • Ensure payroll practices comply with applicable federal and provincial legislation.








Human Resources Administration








  • Support the employee lifecycle, including onboarding, employment changes, and offboarding.




  • Prepare offer letters, employment agreements, confidentiality agreements, and other HR documentation.




  • Maintain accurate and up-to-date employee records and personnel files.




  • Maintain employee information in ADP and other HR systems.




  • Track employee hours, vacation, leaves, attendance, and other employment-related information.




  • Support benefits administration and respond to employee inquiries.




  • Assist with recruitment, hiring coordination, and new hire documentation.




  • Support employee engagement, performance management, and other HR initiatives.




  • Assist with workers' compensation and other HR compliance requirements.




  • Maintain HR policies, procedures, templates, and internal resources.




Employee & Management Support


  • Act as a point of contact for employees regarding payroll and general HR inquiries.




  • Provide timely, professional, and helpful support to employees and managers.




  • Maintain strict confidentiality of employee, payroll, compensation, and company information.




  • Communicate with external payroll, benefits, and other service providers as required.




  • Provide general HR and administrative support as needed.




Process Improvement & Compliance


  • Ensure HR and payroll documentation is accurate, complete, and securely maintained.




  • Monitor HR and payroll processes for accuracy and compliance.




  • Identify opportunities to improve HR processes, payroll procedures, and internal systems.




  • Assist with the implementation and ongoing administration of HR and payroll systems.




  • Stay informed about changes to payroll and employment legislation that may affect the organization.




Qualifications & Requirements


  • 2+ years of experience in Canadian payroll and/or HR administration.




  • Experience processing Canadian payroll from start to finish.




  • Experience with ADP Workforce Now or a similar payroll/HRIS system.




  • Working knowledge of Canadian payroll legislation, statutory deductions, vacation pay, statutory holidays, and overtime.




  • Strong attention to detail and a high level of accuracy.




  • Excellent organizational and time-management skills.




  • Strong written and verbal communication skills.




  • Strong problem-solving and analytical abilities.




  • Proficiency in Google Workspace, particularly Google Sheets (Excel).




  • Ability to handle confidential and sensitive information with professionalism and discretion.




  • Ability to work independently, prioritize multiple tasks, and meet strict payroll deadlines.




  • Comfortable working in a fast-paced and evolving environment.




  • Strong interpersonal skills and a genuine interest in supporting employees.




  • Ability to work in-office in Calgary.




Assets


  • PCP designation or currently working toward the PCP designation.




  • CPHR designation or currently working toward the CPHR designation.




  • Experience processing payroll across multiple Canadian provinces.




  • Experience with benefits administration.




  • Experience with HRIS implementation or process improvement.




  • Experience preparing ROEs, T4s, and year-end payroll documentation.
