Qualifications

  • Completion of Grade 12 (MB Standards)
  • One (1) to two (2) years related administrative experience
  • Experience in health care would be an asset, Mental Health preferred
  • Province of Manitoba Class 5 Drivers License, and access to a personal vehicle to provide service within Prairie Mountain
  • Competent with Windows based programs (Microsoft Access, Word, Excel, PowerPoint and Outlook)
  • Experience in health care would be an asset–Mental Health preferred
  • Demonstrated organizational skills, and the ability to work independently
  • Demonstrated communication skills
  • Demonstrated flexibility to facilitate changes in techniques and procedures
  • Ability to display independent judgment
  • Ability to respect and promote a culturally diverse population

Position Summary

Working within a multi-disciplinary team and specifically with the Mental Health Proctor Supervisor, the Mental Health Proctor Program Scheduling Clerk is responsible for the scheduling and assigning of Proctors to meet client needs. The Mental Health Proctor Program Scheduling Clerk is also responsible for the completion of required administrative functions related to service implementation, scheduling, employee timesheets, mileage reports, and expenses.

Responsibilities

Overview:

  • Maintains client and employee schedules as a record of days/time/locations of assignments/service.
  • Data input of timesheets, mileage claims and expense claims.
  • Investigates and corrects all timesheet variances.
  • Maintains records of all clients receiving services under various program codes. Maintains records of each client receiving services according to each Proctor.
  • Provides written and verbal communication to the Proctors at the direction of the Mental Health Proctor Supervisor, Residential & Community Support Manager or Director.
  • Prepares employment packages for new hires.
  • Adheres to PHIA and FIPPA legislation.
  • Documents any concerns and refers them to Mental Health Proctor Supervisor or Residential & Community Support Manager.
  • Responds to calls from employees.
  • Refers any issues related to employee performance to Mental Health Proctor Supervisor or Residential & Community Support Manager to address.
  • Seeks consultation with Manager or designate appropriately and identifies learning needs as they arise.
  • Maintains client service file during the period client is active with service and ensures these files are closed with termination of client from service.
  • Works within scope of the position description.
  • Sundry duties as assigned.
