Payroll & Benefits Specialist

Full-Time | Hybrid (Aurora, ON)

35 hours/week | Monday–Friday (8:30 AM–4:30 PM)

We're looking for a detail-oriented Payroll & Benefits Specialist who is passionate about accuracy, service excellence, and supporting employees behind the scenes. In this role, you will play an essential part in ensuring our employees are paid accurately and on time while administering benefits and pension programs that support their well-being.

What You'll Do

Reporting to the Finance Manager, you will be responsible for the full-cycle payroll process and administration of employee benefits for a diverse workforce. Working closely with Human Resources and Finance, you will help ensure payroll accuracy, compliance, and continuous process improvement.

Your responsibilities will include:

  • Process bi-weekly payroll accurately and on schedule using ADP Workforce Now.
  • Maintain employee payroll records, earnings, deductions, benefit enrolments, and pension information.
  • Collaborate with Human Resources to process new hires, transfers, promotions, pay changes, leaves, and terminations.
  • Manage time and attendance data, ensuring payroll exceptions are resolved before processing.
  • Calculate retroactive pay adjustments, vacation payouts, and other special payroll transactions.
  • Administer employee benefit plans, pension enrolments, and premium reconciliations.
  • Prepare payroll-related government filings including Records of Employment (ROEs), T4s, T2200s, and other statutory reporting.
  • Complete payroll reconciliations including WSIB, EHT, pension, and benefit reporting.
  • Prepare payroll journal entries and support monthly and year-end financial reporting.
  • Assist with payroll budgeting, variance analysis, and management reporting.
  • Support annual external audits by preparing payroll schedules and reconciliations.
  • Respond professionally to payroll and benefits inquiries from employees, government agencies, and external partners.
  • Identify opportunities to improve payroll processes, controls, and reporting.

What You Bring

We're looking for someone who combines technical payroll expertise with exceptional attention to detail and a collaborative approach.

Qualifications

  • Certified Payroll Manager (CPM) designation or actively working toward certification.
  • Minimum three (3) years of payroll administration experience.
  • Experience using ADP Workforce Now payroll processing, including Time & Attendance.
  • Experience administering employee benefits and pension programs.
  • Strong knowledge of payroll legislation and payroll best practices.
  • Excellent analytical, reconciliation, and problem-solving skills.
  • Advanced proficiency with Microsoft Excel and Microsoft Office applications.
  • Exceptional organizational skills with the ability to manage competing priorities and meet strict deadlines.
  • Demonstrated accuracy and attention to detail.
  • Excellent communication and customer service skills.
  • Ability to maintain strict confidentiality with high degree of diplomacy.
  • Fluency in both official languages (English or French) or other languages, considered an asset..
