Modern Niagara Building Services is currently hiring a People & Culture Coordinator based in our Vaughan office. Working closely with the People & Culture team, the People & Culture Coordinator will support a variety of P&C programs and provide administrative and operational support that helps deliver an exceptional employee experience across the organization.
The People & Culture Coordinator plays a critical role in supporting the delivery of efficient, accurate, and employee-focused People & Culture (P&C) services. This position is responsible for coordinating core People Operations functions, including: maintaining the integrity of employee data within the company’s HRIS system (UKG), facilitating onboarding and employee lifecycle processes, supporting benefits administration, and providing administrative and analytical support to P&C programs and initiatives.
Working closely with employees, leaders, P&C Business and Talent Partners, Payroll, and other stakeholders, the P&C Coordinator ensures a positive employee experience, maintains compliance with company policies and employment legislation, and contributes to continuous process improvement across the P&C function.

Duties and Responsibilities:
People Operations Administration
- Manage the P&C inbox, responding to employee inquiries and appropriately triaging, escalating, or redirecting requests.
- Conduct and facilitate new hire onboarding and orientation sessions, ensuring employees are effectively introduced to the organization's culture, policies, programs, and procedures.
- Manage end-to-end onboarding and offboarding activities, ensuring a seamless employee experience and effective communication across internal stakeholders.
- Prepare and administer employment-related documentation, including new hire paperwork, employee change letters, promotions, transfers, and other employee lifecycle documentation.
- Process employee changes within the HRIS (UKG) and ensure timely communication of changes to Payroll and other relevant stakeholders.
- Maintain accurate, complete, and up-to-date employee records while ensuring confidentiality and compliance with company policies and legislative requirements.
- Generate and analyze HR reports to support workforce planning and employee engagement strategies.
- Ensure the accuracy, consistency, and completeness of HR data through monthly audits, reconciliation processes, and collaboration with cross-functional teams to identify and resolve discrepancies.
- Provide HRIS support, troubleshoot system-related issues, and contribute to process enhancements and continuous improvement initiatives.
- Support the broader P&C team with administrative activities, projects, and cross-functional initiatives as required.
- Manage benefits enrollment and respond to related employee inquiries.
- Administer and monitor all Leaves of Absence, providing timely follow-up to relevant internal/external teams and employees to ensure adherence to leave policies and smooth return to work transition.
- Coordinates the timely administration of Long-Term-Disability (LTD) applications and related documentation.
- Partner with Payroll and benefits providers to ensure accurate and timely processing of employee benefit and leave-related changes.
- Partner with the designated P&C Business Partner(s) to support workforce planning, talent management, employee engagement, and organizational development initiatives.
- Assist with the administration and execution of P&C programs, including performance management, employee engagement surveys, exit interviews, and employee recognition initiatives.
- Maintain accurate employee records and ensure compliance with employment laws and internal policies.
- Contribute to continuous improvement of P&C processes and employee experience.
- Bachelor’s degree in Human Resources, Business Administration, or a related field (preferred).
- CHRP designation or progress toward CHRP considered an asset.
- Minimum 2-3 years of experience in Human Resources, HR Operations, or a related People & Culture role.
- Strong knowledge of current employment legislation and a demonstrated commitment to diversity, equity, and inclusion.
- Exceptional written, verbal, and presentation skills.
- Ability to exercise a high level of discretion and maintain confidentiality.
- Strong interpersonal skills with the ability to communicate effectively across all levels of the organization.
- Proven ability to work both independently and collaboratively in a fast-paced environment.
- Proficiency in HRIS platforms; experience with UKG is preferred.
- Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint).
- Outstanding attention to detail and organizational abilities.
- Ability to manage multiple priorities and meet deadlines under pressure.
