About The Company

The Project Support Administrator will provide administrative and coordination support to the Group Project Manager, helping ensure projects are organised, accurately documented and progressed in line with agreed plans and timescales.

Working across multiple projects, the postholder will maintain project records, coordinate meetings and communications, monitor actions and deadlines, and support reporting, financial administration and project governance.

Key Responsibilities

Project Administration and Coordination

  • Maintain accurate project plans and trackers using systems such as Monday.com.
  • Set up and maintain project folders with all standard documentation, templates and using electronic filing systems.
  • Provide administrative support across a portfolio of projects.
  • Coordinate project meetings, attendees, agendas and supporting papers.
  • Produce clear meeting notes, action logs and decision records.
  • Ensure project information is current, complete and accessible to relevant stakeholders.

Project Monitoring and Reporting

  • Monitor project milestones, actions, deadlines, risks, issues and dependencies using project plans on Monday.com.
  • Gather progress updates and follow up on outstanding actions.
  • Prepare project reports, summaries and dashboards.
  • Highlight overdue actions, delays and emerging risks to the Group Project Manager.

Financial and Procurement Support

  • Maintain project budget and expenditure trackers.
  • Assist with purchase orders, invoices and other financial documentation.
  • Record approved expenditure, estimated costs and actual spend.
  • Maintain supplier information, quotations and procurement records.
  • Support the administration of project change requests and approvals.

Stakeholder Communication and Governance

  • Coordinate communication between internal and external project stakeholders.
  • Liaise professionally with colleagues, contractors, consultants and suppliers.
  • Maintain project governance, approval and compliance records.
  • Support the completion and collation of business cases and project documentation.
  • Maintain records relating to planning, surveys, property requirements and contractors.
  • Ensure project records are stored securely and in line with company procedures.
  • Support project closure, including final actions and lessons learned.

Essential

Skills and Experience Required

  • Previous administration or project support experience, with the ability to maintain accurate records, trackers, and filing systems.
  • Strong Microsoft Office skills, including Excel, Word, PowerPoint, and Outlook.
  • Experience using project management software, such as Monday.com.
  • Good organisation and time-management skills, with the ability to manage multiple tasks and deadlines.
  • Excellent written and verbal communication skills, including producing clear meeting notes and project updates.
  • Accurate data entry skills with strong attention to detail.

Desirable

  • NVQ Level 3 in Business Administration or equivalent qualification.
  • Experience supporting multiple projects or working within a project environment.
  • Experience maintaining project plans, action logs, risks, issues, or progress reports
  • Experience in using Monday.com.
  • Experience supporting budget tracking, purchase orders, invoices, or procurement activity.
  • Experience assisting with business cases, project governance, or change requests.
  • Experience working within health and social care, education, property or another regulated environment.
