Role Overview


The Property Management Administrator provides essential administrative, financial, and documentation support across both commercial and residential portfolios. This role ensures accuracy, consistency, and compliance in tenant records, AR processes, vendor documentation, and property management systems. The Administrator acts as a key operational backbone for the Property Management team, enabling Property Managers to focus on tenant relationships, approvals, and higher-level decision-making.


Key Responsibilities:


Financial & AR Support



  • Manage rent and service charge AR follow-up and collection support

  • Issue tenant invoices through MRI and track payment status

  • Support CAM reconciliations and tenant chargeback processing as directed

  • Assist with service work invoicing and internal billing workflows


Tenant Records & Documentation



  • Maintain accurate tenant master files and contact records

  • Update tenant directories and commercial listings

  • Collect and track tenant insurance certificates and annual renewals

  • Ensure all tenant documentation is filed correctly in Teams and MRI systems


Vendor & Compliance Administration



  • Maintain vendor compliance records including insurance and WCB documentation

  • Support master vendor contract tracking and renewals

  • Assist with contractor documentation for both operations and TI-related work when directed


System & Database Support



  • Maintain accuracy in MRI, Angus, and internal tracking systems

  • Support lease file organization, licensing documentation, and agreement tracking

  • Assist with residential documentation scanning and filing as required


Operational Support (Administrative Only)



  • Support property managers with administrative follow-up for tenant communications

  • Assist with coordination of tenant events, notices, and mailouts as directed

  • Provide administrative assistance for move-in/move-out documentation and scheduling

  • Provide reception coverage during receptionist absences and develop proficiency in all required reception systems and software


Core Competencies



  • Accounting or financial experience

  • Technology (IT) proficiency

  • Attention to detail

  • High level of accuracy
