We're looking for a Proposal Coordinator to support our growing team. The Proposal Coordinator supports the development and submission of high-quality, compliant proposals that align with KBL's business development objectives. This role coordinates proposal activities, manages documentation and deadlines, and collaborates with internal teams to deliver professional, timely submissions.
What You'll Do
- Coordinate the end-to-end proposal development process, including scheduling, formatting, document assembly, and submission tracking.
- Monitor tender opportunities, maintain CRM records, and support business development activities by tracking leads and proposal status.
- Collaborate with subject matter experts, project managers, and internal stakeholders to gather content and ensure complete, compliant submissions.
- Maintain proposal content libraries, resumes, project profiles, references, and supporting documentation while ensuring brand consistency and version control.
- Support grant applications, business cases, contract documentation, and other administrative initiatives that contribute to organizational growth and operational efficiency.
Who You Are
- Post-secondary education in Business Administration, Marketing, Communications, Project Management, or a related field is preferred.
- 3–5 years of experience in proposal coordination, business development support, or a related administrative role, preferably within environmental services, engineering, or construction.
- Highly organized with exceptional attention to detail.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities and meet competing deadlines.
- Collaborative team player who can work effectively with cross-functional teams
- Experience working with proposal templates, content libraries, and standardized processes is an asset.
- Experience supporting grant or funding applications is considered an asset.
What You Need
- Proficiency in Microsoft Office Suite, particularly Word, Excel, PowerPoint, and Outlook.
- Experience using CRM software (Pipedrive or equivalent).
- Familiarity with document management systems such as SharePoint or equivalent platforms.
- Strong organizational, administrative, and document control skills.
- Ability to coordinate multiple projects and deadlines simultaneously.
- Experience supporting proposal development, business development, contracts, or grant submissions.
- Ability to maintain accurate records, manage version control, and ensure document compliance.
