About The Role

The successful candidate will work closely with Estimating, Project Management, Operations, Safety, and other internal teams to develop proposals that meet client requirements and submission deadlines.

Key Responsibilities

  • Lead the end-to-end preparation of complex proposals, RFPs, bids, and strategic submissions.
  • Write, edit, format, and structure clear, persuasive, and professional proposal content.
  • Coordinate with Estimating, Operations, Project Management, Safety, and subject matter experts to gather and validate information.
  • Manage bid clarification processes, including coordinating responses and ensuring submissions meet required deadlines.
  • Support pricing revisions and negotiations during post-submission stages.
  • Track proposal submissions, confirmations, outcomes, and follow-up requirements.
  • Maintain proposal templates, presentations, project profiles, brochures, and other business development materials.
  • Ensure proposal documents are accurate, consistent, compliant, and aligned with company standards.
  • Conduct quality and peer reviews of proposals before submission.
  • Maintain document control processes and proposal department standards.
  • Provide guidance and writing support to junior team members and bid teams.
  • Help improve proposal processes, workflows, and overall efficiency.
  • Manage multiple proposals and competing priorities while meeting firm deadlines.
  • Collaborate with team members and provide support during periods of high proposal volume.

Qualifications & Experience

  • 3+ years of experience in proposal coordination, proposal management, technical writing, or a related field.
  • Experience working in a construction, engineering, or heavy industrial environment is preferred.
  • Post-secondary diploma or degree in Business, Communications, Marketing, or a related field.
  • Strong professional writing, editing, proofreading, and communication skills.
  • Excellent attention to detail and ability to produce concise, well-structured content.
  • Strong organizational and time-management skills with the ability to manage multiple deadlines.
  • Proficiency with Microsoft Word, Excel, and PowerPoint.
  • Ability to collaborate effectively with teams across different departments.
  • Experience with Adobe InDesign, Illustrator, or similar marketing/design tools is an asset.
  • Self-motivated, dependable, and comfortable working in a fast-paced environment.
