Position Overview:

As a Shareholder Experience Associate, you will provide professional, accurate, and timely support to shareholders, their representatives, and members of the investment community. You will serve as the initial point of contact, assisting Shareholders with account-related inquiries, documentation requirements, share transactions, estate processing, and general Shareholder services.

This role combines customer service, problem-solving, and attention to detail in a fast-paced financial services environment. You will work with a variety of inquiries ranging from routine account maintenance to more complex situations involving estates, legal documentation, and transaction-related requests.

Success in this role requires strong communication skills, adaptability, sound judgment, and a commitment to delivering a positive customer service experience. Through a structured training program, you will develop knowledge of shareholder services, transfer agent operations, regulatory requirements, and industry processes.

Position: Shareholder Experience Associate

Position Status: Part Time – Work from Home

Hours of Work: 4 Hour Shifts Between Monday-Friday 10:00am-4:00pm EST

Location of Hires: Open to candidates residing in Alberta, Manitoba, New Brunswick, Nova Scotia, and Prince Edward Island.

Rate of Pay: $19.35/HR (English) & $20.50/HR (English/French)

Responsibilities:

  • Deliver professional, courteous, and empathetic service while meeting established quality and service standards.
  • Respond to Shareholder inquiries related to account information, documentation requirements, transactions, and account updates, including but not limited to:
    • Medallion Signature Guarantees
    • Notarization requirements
    • Probate and estate documentation
    • Beneficiary designations
    • Wills and supporting legal documents
    • Program participation and account-related requests
  • Explain processes, requirements, and documentation clearly and accurately.
  • Build trust and confidence with shareholders while handling sensitive situations with professionalism and care.
  • Apply company policies, procedures, and regulatory requirements to ensure accurate service and compliant processing.
  • Exercise sound judgment and attention to detail to minimize errors and mitigate operational risk.
  • Support Shareholders and individuals navigating estate-related matters with patience, empathy, and professionalism.
  • Adapt to evolving processes, procedures, systems, and business needs while maintaining a high level of service.

Requirements:

  • 1 to 3 years of experience in customer service, contact centre, or service-focused environment.
  • Strong verbal, written, and listening skills, with the ability to communicate complex information clearly and professionally.
  • High School Diploma or equivalent.
  • Strong computer skills, including the ability to navigate multiple systems and applications.
  • General understanding of Canadian and U.S. tax documentation requirements.
  • Strong problem-solving abilities and attention to detail.
  • Basic financial knowledge and understanding of shareholder services.
  • Experience working in a high-volume contact centre environment is a strong asset.
  • Ability to solve problems and pay attention to details.
  • Comfortable adapting to ongoing processes, policies, and system changes.
  • Hold a strong retention and continuous learning mindset.

Working Conditions:

  • Fast-paced contact centre environment with performance and service expectations.
  • Extended periods of sitting and computer use.

Working From Home Requirements:

  • High Speed internet with a minimum 30mb/s download and 10mb/s upload speeds (No Satellite Internet)
  • A physical space where you can fit your PC and Monitor near a router or modem that is private and free of distraction.
  • You must be connected via Ethernet port and not by Wi-Fi.
  • Ability to download and use the Google Authenticator app.
  • Must have IOS 11 or Android version 10 (or newer).
