We are looking for a Sales Coordinator – Groups & Events to join our sales team supporting two distinctive properties located in downtown Montreal: SENS Høtel and Château Versailles.

Reporting directly to the Director of Sales and Marketing, the successful candidate will work closely with our Sales Managers and play a key role in supporting the team’s day-to-day activities, coordinating groups, and preparing events.

Previous experience in hospitality, sales, group coordination, or events is considered a strong asset.

KEY RESPONSIBILITIES:

  • Respond to incoming calls and inquiries related to sales, groups, and events.
  • Handle client requests and ensure thorough and timely follow-up on all files.
  • Support the two Sales Managers and the Director of Sales and Marketing in their daily activities.
  • Act as a liaison between the hotel’s various departments, including Sales, Reservations, Front Desk, Restaurant, Kitchen, and Operations.
  • Provide administrative follow-up for all confirmed and upcoming groups, events, and activities.
  • Enter and update information in Opera Cloud, including corporate rates, groups, room blocks, and rooming lists.
  • Create booking links for corporate contracts and groups in TravelClick or SynXis, when required.
  • Coordinate groups, with or without events or food and beverage services, from confirmation through departure.
  • Enter and update rooming lists and ensure appropriate follow-up with group contacts before, during, and after their stay.
  • Follow up on group deposits, payments, and billing arrangements.
  • Prepare group resumes and operational documents and distribute them to the appropriate departments.
  • Prepare and distribute event and banquet documentation, when required.
  • Clearly communicate all relevant group and event information to the operational teams.
  • Act as the main operational point of contact for groups before and during their stay.
  • Follow up on billing and send invoices after group departures, when required.
  • Conduct hotel site visits with prospective clients in the absence of the Sales Manager.
  • Prepare prospecting lists and conduct research on potential clients to support the Sales Managers in their business development activities.
  • Maintain accurate and up-to-date sales department files, systems, and documentation.
  • Enter and submit invoices in Tipalti for approval and payment and follow up as needed.
  • Prepare and manage staff schedules for the breakfast service at Château Versailles.
  • Order food, supplies, and equipment required for the proper operation of the breakfast service at Château Versailles, while monitoring needs and inventory levels.
  • Perform any other related duties necessary to effectively support the Sales Department.


REQUIRED QUALIFICATIONS:

  • Excellent written and verbal communication skills in both French and English.
  • Excellent organizational skills and strong attention to detail.
  • Ability to manage multiple files and priorities simultaneously in a fast-paced environment.
  • Ability to work under pressure while maintaining a high level of accuracy and service.
  • Good judgment, autonomy, and the ability to resolve issues quickly and effectively.
  • Excellent proficiency in Microsoft Outlook, Word, and Excel.
  • Professional, positive, and collaborative attitude.
  • Ability to work effectively within a small team.
  • Previous experience in hospitality, sales, group coordination, or events is strongly preferred.
  • Knowledge of a hotel property management system such as Opera Cloud is considered an asset.
  • Bilingualism in French and English is required, as the position involves regular communication with local, Canadian, and international clients.
