Search Clerk

The Search Clerk plays a key role in supporting corporate filings, maintenance, and supply requests through high-volume corporate name searches and due diligence activities. This role ensures accuracy, efficiency, and compliance with regulatory requirements while supporting seamless client service and internal operations. The successful candidate will manage search requests, assist with filing preparation, maintain accurate records, and collaborate closely with corporate services and client teams in a fast-paced environment.

Key Responsibilities

• Conduct corporate name searches, NUANS reports, and filing support for incorporations, amendments, and maintenance filings
• Verify business name availability and identify potential compliance concerns
• Prepare accurate search results and filing documentation for internal teams and clients
• Maintain organized records and manage high-volume requests to meet deadlines and SLAs
• Support corporate supplies processing, data entry, and document management
• Respond to internal inquiries, provide status updates, and escalate issues where required
• Collaborate with corporate services and client teams to ensure efficient workflows
• Ensure compliance with federal and provincial registry requirements while maintaining confidentiality
• Identify opportunities to improve accuracy and operational efficiency
  
  

Skills, Knowledge And Expertise

• Bilingual French and English
• Proficiency with Microsoft Office Suite (Word, Excel, Outlook)
• Experience with corporate search and filing systems is an asset
• Strong administrative, data entry, and typing skills
• Familiarity with corporate registries and NUANS searches preferred
• Strong attention to detail and organizational skills
• Ability to manage high-volume, repetitive tasks efficiently
• Strong communication and problem-solving abilities
• Ability to work independently and collaboratively in a fast-paced environment

In line with the amended Employment Standards Act 2000, the salary for this role is: $60K, dependent on assessment of skills during the interview process.
