Job Description:

Note: This is for 2 Regular Full-Time vacancies. These positions is hybrid but requires you to work in-person on site weekly and is based in London, Ontario. These positions are deemed critical replacement vacancies.

Why this Role is Important

Reporting to the Manager, Student Accountability, the Student Accountability and Investigations Specialist plays a critical role in fostering a safe, respectful, and accountable learning environment at Fanshawe. The Student Rights and Responsibilities Office supports this institutional goal by ensuring that concerns related to non‑academic student behaviour are addressed through fair, consistent, and legally sound processes.

Drawing on strong, investigative, policy, and/or legislative expertise, the Specialist conducts impartial fact-finding processes, analyzes evidence, and prepares investigation reports that support institutional decision-making related to student accountability. Through restorative resolution processes, education, and collaboration with campus partners, the role contributes to a coordinated institutional approach to student conduct while helping the College identify emerging risks, mitigate institutional liability, and promote a safe and respectful campus community.

How You’ll Make an Impact

Investigation of Non-Academic Student Misconduct

  • Receive and review reports of alleged non-academic student misconduct

  • Conduct initial case assessment to determine jurisdiction under the Student Code of Conduct and identify the appropriate resolution pathway (investigation, restorative resolution, referral to another office, or other institutional processes)

  • Apply multiple policies and legislative requirements during initial case assessment and triage (including FIPPA, non-academic misconduct, sexual violence, human rights, free speech, acceptable use of technology, etc.) to accurately identify appropriate jurisdiction and investigatory steps

  • Determines how to address student conduct cases using knowledge and expertise pertaining to a wide array of relevant policies and practices, as well as knowledge of how various policies inter-relate and where one policy may have precedence over other

  • Initiate conduct investigations in accordance with College policy and procedural fairness principles, including issuing or coordinating notices of allegation and outlining the investigation process to respondents and other parties

  • Conduct impartial investigations by interviewing complainants, respondents, and witnesses and gathering relevant information in a manner that is respectful, trauma-informed, and consistent with institutional policies and applicable legislation

  • Collect, review, and analyze relevant evidence including written statements, institutional records, security reports, electronic communications, social media content, and available video or other documentation

  • Liaise with internal stakeholders to support investigations, including Centre for Equity, Diversity, and Inclusion, Campus Security, Information Technology, Residence, Counselling, Academic Divisions, and other College departments, to gather information for investigations (as relevant and appropriate) and to refer for additional support

  • Assess the credibility and reliability of information gathered during investigations and synthesize evidence to establish findings of fact

  • Prepare comprehensive investigation reports summarizing the allegations, investigation steps, relevant evidence, and findings of fact and recommendations for review by the Manager, Student Accountability

  • Identify and communicate potential safety concerns or risk issues arising during investigations and consult with appropriate institutional partners where interim measures or referrals may be required

  • Ensure investigations are conducted and documented in accordance with established timelines, procedural fairness standards, and relevant College policies and procedures

  • Identify indicators of elevated risk to personal or campus safety and refer to leadership and student support services, as needed

Restorative and Informal Resolution Processes

  • Assess reports of non-academic student misconduct to determine whether concerns may be appropriately addressed through restorative or informal resolution processes rather than formal investigation

  • Facilitate restorative conversations, mediation, or other dialogue-based processes between affected parties where appropriate and where participation is voluntary

  • Support harmed parties and respondents in identifying the impact of behaviours and exploring opportunities to repair harm and restore community relationships

  • Develop and document restorative agreements, behavioural agreements, or educational outcomes that promote accountability, learning, and harm repair

  • Monitor compliance with restorative agreements or informal resolutions and follow up with involved parties to ensure commitments are fulfilled

  • Provide guidance to students on expectations for respectful behaviour, accountability, and responsible community participation

  • Consult with the Manager, Student Accountability regarding the appropriateness of restorative or informal resolution approaches in complex or sensitive cases

  • Refer cases to formal investigation where restorative or informal resolution is not appropriate, unsuccessful, or where safety concerns emerge

Education, Outreach, and Consultation

  • Develop and deliver educational programming and presentations for students, faculty, and staff related to the Student Code of Conduct, student rights and responsibilities, and expectations for respectful and responsible student behaviour within the College community

  • Provide consultation and guidance to faculty, staff, and academic leadership on responding to student behavioural concerns, classroom disruption, and potential non-academic misconduct issues

  • Promote awareness of conduct processes, restorative approaches, and available institutional supports to help prevent misconduct and support a respectful campus environment

  • Collaborate with campus partners to develop educational resources, workshops, and communication materials related to student behaviour, conflict resolution, and community standards

  • Participate in orientation programming, classroom visits, or campus events to educate students about behavioural expectations, community standards, and available supports

  • Identify trends or recurring behavioural concerns and contribute to the development of targeted educational initiatives to address emerging issues within the student community

Case Management and Recordkeeping

  • Maintain comprehensive, accurate, and confidential case files for all reports, investigations, and resolutions in accordance with College policies, privacy legislation, and records management standards

  • Document investigative steps, interviews, evidence collected, and relevant correspondence to ensure clear and complete case records

  • Enter and maintain case information within institutional case management or recordkeeping systems, including tracking reports, investigation progress, outcomes, referrals, and follow-up actions

  • Monitor timelines associated with investigations and resolution processes to ensure compliance with applicable policies and procedural requirements

  • Track and document restorative agreements, behavioural agreements, or other outcomes and follow up as required to confirm completion

  • Prepare case summaries or documentation required for review and approval by the Manager, Student Accountability and the Executive Director

  • Ensure the safeguarding, appropriate use, and controlled disclosure of sensitive student information in accordance with applicable legislation and institutional policies

  • Participate in record retention and recovery for appeal processes and internal/external legal processes, as required

Policy and Pan-Institutional Collaboration

  • Collaborate with campus partners including Campus Security, Residence, Counselling, Academic Schools, Centre for EDI, and other College offices to ensure coordinated responses to student misconduct and behavioural concerns

  • Participate in institutional committees or intervention teams related to student behaviour, safety, and wellbeing, contributing investigative insights and supporting coordinated responses where appropriate

  • Consult with internal stakeholders on the interpretation and application of policies intersecting with the Student Code of Conduct

  • Identify emerging trends, systemic issues, or policy gaps arising from investigations and contribute recommendations for policy, procedure, or practice improvements

  • Support the development, review, and continuous improvement of policies, procedures, and operational guidelines related to student conduct and behavioural expectations

  • Contribute to the development of institutional processes and tools that support effective conduct investigations, restorative approaches, and coordinated student support

  • Foster collaborative relationships with internal and external partners to support a consistent, fair, and coordinated approach to student accountability and community safety

What You'll Bring

  • Post-secondary 4 year degree in a relevant field such as law, criminology, public administration, social sciences, or a related discipline A graduate degree in a relevant field, a law degree (JD/LLB), or relevant professional designation (e.g., CHRP/CHRL) will be considered strong assets

  • Minimum 5 years’ progressively responsible experience in investigations related to people, employment, or student policies; student conduct administration; regulatory compliance; conflict resolution; or related fields involving complex case management and policy interpretation

  • Demonstrated experience conducting complex investigations, including gathering evidence, interviewing parties and witnesses, assessing credibility, and preparing written reports to support administrative decision-making

  • Experience interpreting and applying institutional policies and legislation, including frameworks related to human rights, and student conduct processes

  • Experience working with sexual violence disclosures or complaints, or other highly sensitive matters, using trauma-informed and survivor-centered approaches

  • Experience facilitating or supporting informal resolution processes, including mediation, restorative dialogue, and behavioural agreements

  • Experience managing multiple complex cases simultaneously while maintaining accurate documentation, confidentiality, and adherence to procedural timelines

  • Demonstrated ability to collaborate effectively with a wide range of stakeholders, including students, faculty, staff, senior administrators, and external partners

  • Experience working in post-secondary education, the public sector, or similarly complex institutional environments is considered an asset
