CMA CGM is seeking a highly organized, detail oriented, proactive administrative Support Coordinator to manage the daily operations our office environment and assist the Management team with comprehensive admistrative tasks including report analysis, coordination of training and translation.

POSITION SUMMARY
The Administrative Support Coordinator is responsible for the daily operations of our office environment. This role involves coordinating administrative activities, streamlining workflows, and creating an inviting, efficient, and organized workspace. Additionally, provide administrative support for Human Resources and the Senior Management team.
ESSENTIAL RESPONSIBILITIES
Office Services
- Coordinate and ensure efficient office operations, including equipment, office supplies, common areas, boardrooms, lunchrooms, parking, and building services.
- Manage office supplies and IT equipment to ensure smooth operations.
- Oversee the maintenance, repair, or replacement of office equipment.
- Coordinate local IT tasks such as laptop configuration, equipment ordering/tracking, and setup for new employees, while tracking the assets locally
- Ensure the office space is organized and clean.
- Prepare & send internal correspondence
- Coordinate interim accommodations and relocations.
- Handle event planning for meetings, development sessions, and other departmental initiatives.
- Serve as the first point of contact for visitors and employees' administrative inquiries.
- Perform the needed requirements for the above using the company's procurement software.
Administrative Support & Projects
- Coordinate internal and external training sessions in coordination with HR while keeping the database and reporting up to date.
- Update CMA CGM sites with reference information, policies, and events.
- Coordinate the translation of documents.
- Assist with local sustainability events, activities, and parties.
- Supporting HR and Management with reports & analysis
- Other responsibilities as required
QUALIFICATIONS
Education: University degree is an asset.
Experience: Proven experience in office administration or related roles.
Skills:
- Exceptional organizational skills and the ability to manage multiple priorities effectively.
- Excellent verbal and written communication skills, fluent in English and French.
- Proficient in Microsoft Office, with strong Excel skills.
- Proactive, with the ability to multitask and prioritize tasks.
- Flexibility to adapt to changing priorities while maintaining attention to detail.
