Job Description: Coordinator, Sales & Catering

Position Summary

Under the general direction of the Regional Manager, Sales & Catering, this position is responsible for all aspects of finalizing sales and catering details. The Coordinator plays an integral role in supporting the sales cycle from initial inquiry through to post-event follow-up. The role develops strong relationships with guests, site operations, food and beverage, and banquets. It ensures adherence to the Company’s policies and procedures, motivates and leads by example, and supports Great Canadian’s learning environment while establishing a safe and welcoming work environment for all team members.

Key Accountabilities

  • Plans and coordinates pre-event meetings; ensures all stakeholders are involved and in agreement with event details
  • Advises clients of available facilities, menus, and pricing; makes recommendations
  • Maintains accurate and detailed records of events, guests, orders, payments, and expenses
  • Creates the Banquet Event Order for each event in conjunction with the Manager, Sales & Catering
  • Inspects facilities before, during, and after the event
  • Compiles and distributes departmental reports
  • Coordinates and attends departmental meetings
  • Assists with mail outs, fax blasts, and other sales initiatives
  • Responds to and resolves guest issues promptly and efficiently
  • Follows up with guests to complete a post-event quality report; submits to the Director, Sales & Catering
  • Liaises and communicates effectively with all appropriate operational departments
  • Develops and cultivates strong working relationships with all stakeholders: guests, ownership, and team members
  • Ensures compliance with licensing laws, health and safety, and other statutory regulations
  • Assists the Sales Manager in executing sales initiatives, lead generation, and client outreach campaigns
  • Manages and maintains the sales pipeline in coordination with the Sales Manager to ensure consistent follow-up and conversion of leads
  • Supports the full sales cycle from inquiry and proposal through to contract finalization and post-event feedback
  • Prepares customized proposals, conducts site tours, and actively participates in upselling services and amenities
  • Maintains current knowledge of market trends, competitor offerings, and seasonal opportunities to support business development
  • Performs other duties as assigned or directed

Education And Qualifications

  • High School Diploma required; post-secondary hospitality or hotel education preferred, or a suitable combination of education and experience
  • Minimum 2 years of experience in sales and catering
  • Experience with Opera/Fidelio; Squirrel experience an asset
  • Serving it Right certification
  • Strong understanding of the sales cycle, customer relationship management, and service recovery
  • Proven ability to meet or exceed sales goals or performance targets in a hospitality or events environment
  • Experience using CRM tools or event management software (e.g., Opera, Delphi, Tripleseat) is considered an asset
  • Ability to exceed internal and external customer expectations through timely, effective, and service-oriented communication
  • Computer literacy in MS Office
  • Ability to successfully obtain a Gaming License

Work Environment Considerations

  • Regular office environment; non-traditional work hours, including evenings and weekends, will be required depending on event schedules
  • Weekend work and on-site event attendance is required as part of regular responsibilities
  • Flexibility in schedule is essential to meet the needs of clients and operational timelines
  • Ability to work in a fast-paced, high-pressure environment while managing multiple priorities
  • Must be comfortable representing the property and interacting with clients during events
