Reporting to the Director, Preconstruction, the Lead Proposal Coordinator will be responsible for planning, setting objectives, activities associated with the ultimate goal of securing negotiated project opportunities, sole-sourced, or limited competition contracts, building & maintaining our brand, developing & maintaining relationships with clients and other industry stakeholders in order to meet or exceed the Business Plans’ objectives

Reporting to the Director, Preconstruction, the Lead Proposal Coordinator will be responsible for planning, setting objectives, activities associated with the ultimate goal of securing negotiated project opportunities, sole-sourced, or limited competition contracts, building & maintaining our brand, developing & maintaining relationships with clients and other industry stakeholders in order to meet or exceed the Business Plans’ objectives
This position will be based in Bird's Richmond, BC office
What You Will Be Working On
Pursuit Coordination
- Develop overall proposal process and strategy including: best practices for scheduling, win strategies, establish a best-in-class proposal process, debriefs with owners and incorporate into lessons learned.
- Support strategic alliances with other contractors, engineering contractors, suppliers and indigenous communities.
- Collaborate with District Business Development personnel to support project intelligence gathering, update the team via the CRM tool and other direct means.
- Assist with mapping out the process for Key Account management and completion of stewardship reports.
- Contribute to the development of project pursuit win strategies, win themes and value propositions.
- Contribute to the go/no-go decision-making process.
- Focus efforts on key accounts and major project opportunities are where Bird has a competitive
- Proactively resource proposal assignments to optimize Bird’s chances of a positive outcome.
- Ensure consistency of time allocation, efforts, and results with the Business Plans of each business unit or as otherwise agreed with the EVPs and SVPs.
- Identify high profile opportunities and develop jointly with business development and district leadership as early as possible, typically prior to the RFQ or RFP stage.
- In collaboration with District Business Development personnel provide sufficient research regarding reliability of leads and clients to permit management team to effectively assess and develop plans and resourcing strategies.
- Lead &/or provide strategic proposal support for large, priority pursuits. Define and set standards of quality for proposals, including reviewing regional submissions, as required. Advocate for consistency in process and quality.
- Collaborate with the districts to develop (and hire where necessary) technical writing capabilities within each of the proposal groups.
- Lead and/or participate in proposal review meetings, and in proposal debriefs.
- Coach and train BC proposal team members on proposals best practices to foster continuous improvement of submissions.
- Support the proposals group to complete expressions of interest (EOI’s) responses and prequalification (RFQs).
- Facilitate “zippering” of contacts, for large contracts with key accounts, with other Company
- Establish a professional reputation that is viewed by clients and industry partners as a
- Ensure securement resources are used in an efficient and economical fashion.
- Monitor the sales funnel for resource allocation.
- Ensure a focus where quality win strategies, win themes, value propositions and
- Achieve a high ratio of successful major pursuits.
- Ensure adherence to deadlines.
- Strive for Stakeholder satisfaction resulting from the pursuits.
- Ensure a mindset of continual elevation of Bird’s brand.
- Generate information about the Company for targeted industry stakeholders.
- Support/recommend external client communications including social media where appropriate.
- Develop partnerships with all Bird business units ensuring maximum exposure of the Company’s capabilities, including an understanding of the service offerings of all business units and the presentation of those capabilities.
- Support presentations/tours/demonstrations to clients to inform of our suite of services and for project interviews.
- Establish strong market penetration and broad market awareness of Bird’s full service offering.
- Ensure communication is consistent with the brand and image established corporately and in the strategic plan.
- Ensure all written submissions (i.e. Information Packages and Request for Proposals) are professional and in the established branding standard.
- Work within the Customer Relationship Management (CRM) platform to support status of project opportunities.
- Support district business development team members to ensure CRM accuracy of data and
- Support tracking & reporting on key metrics for district, division and corporate reports.
- Collaborate with the districts to ensure that the portfolio of projects, resumes, and proposal contact is accurate and up to date.
- Ensure CRM is maintained current at a minimum for Priority 1 opportunities.
- Ensure project letters of support from clients are received at the 2/3 point of the project schedule.
- Ensure project profiles and photographs prepared within 2 months of project completion.
- Support, as required, district and corporate marketing efforts.
- Collaborate and align with Corporate Marketing resources.
- Align regional memberships & sponsorship branding with the vision.
- Support applications for industry awards, development of presentations, brochures & graphics.
- Support industry publications, events and white papers.
- Support to the development of other marketing materials such as project profiles, photographs and resumes.
- Ensure alignment to Bird brand guidelines and corporate marketing strategic direction.
- Project and model Thought Leadership on marketing initiatives.
- Undergraduate degree/diploma in marketing/communications, journalism or related experience
- 8+ years’ experience in a sales, business development or marketing environment with proposal creation responsibility
- Superior written and verbal communication skills
- Ability to communicate with team members at all levels of the organization
- Experience working with the Adobe Creative Cloud Suite (InDesign, Illustrator, Photoshop)
- Experience working with Microsoft Office (Outlook, Word, Excel, SharePoint, etc.)
- Experience working with a CRM tool (Microsoft Dynamics) considered an asset
- Excellent project coordination skills and understanding of key business processes
- Ability to forge, grow and maintain positive relationships
- Ability to manage multiple priorities simultaneously and meet the time demands of unpredictable activities; capable of handling pressure and challenges in a dynamic business environment
- Ability to work within tight deadlines and prioritization of work to achieve them
- Strong analytical, critical thinking, troubleshooting, problem-solving skills, and a high degree of accuracy and attention to detail
- Highly developed interpersonal, communication, and organizational skills
- Sense of urgency and strong commitment to achieving goals; ability to work in challenging, fast paced environment
- Ability to work collaboratively with a positive attitude
- Previous experience working in a corporate construction, architecture, and/ or engineering environment considered an asset
