Position Summary

Provide administrative leasing and legal support to the Vancouver based Leasing-Legal Team. Duties as described below.

Responsibilities:

The specific duties and responsibilities for this position include but are not limited to the following:

Leasing

  • Respond to field leasing enquiries;
  • Assist with site information gathering and drafting lease documentation and correspondence that is to be sent to prospective and existing tenants;
  • Prepare Deal Summary Sheets, Lease Request Forms, ;
  • Review and revise commission agreements, process broker commission invoices. Act as liaison between tenants and accounting;
  • Maintain leasing database, tracking schedules and various leasing reports;
  • Prepare amending agreements, extension agreements, assignments of lease (for existing Tenants) as well as Offer to lease;
  • Ability to review existing tenant leases and gain a full understanding of the Tenant’s history;
  • Send waiver letter and copy of lease to tenants once a binding agreement is in place;
  • Attend functions on behalf of the department;
  • Liaise with planning, construction, finance, legal and accounting departments as required;
  • Keep the Leasing Managers organized with filing and other clerical responsibilities;
  • Set-up and assist in preparation of external and internal meetings;
  • Provide reception relief as required;
  • Other projects as assigned.

Legal

Provide Partial Administrative And Secretarial Support To The Associate Counsel. Duties Include General Clerical And Project-based Work. The Duties And Responsibilities For This Area Include But Are Not Limited To The Following:

  • Update Legal Exclusive Binders (Project Plan Binders) with accurate information;
  • Preparing/revising drafts of lease documentation, purchase and sale contracts, etc;
  • Prepare draft assignment documentation, lease terminations, and the like,
  • Organizing legal and leasing files;
  • General clerical duties including photocopying, faxing, mailing, filing and couriers;
  • Time billing management of Team
  • Other related duties

Academic/Professional Requirements:

  • College Diploma and/or Certificate, preferably in Administration or related field;

Required Skills/Experience:

  • Minimum 3 year office/clerical experience in a commercial real estate environment or equivalent;
  • Must excel in ability to prioritize workload;
  • Ability to prioritize and multitask;
  • Good understanding of legal documents
  • Excellent oral and written communication skills and must possess the ability to effectively communicate across all levels of management within the company as well as outside the organization;
  • Understanding of lease terminology;
  • Proficient in MS Word, Power Point and Excel;
  • Strong analytical and attention to detail skills.

The expected base pay range is: $67,000 - $77,000. The base pay range is for the primary location for which the job is posted.
