As a Leasing & Site Administrator, you will play a key role in supporting the day-to-day leasing and site administration operations while delivering exceptional customer service to residents and prospective tenants.

Leasing and Resident Engagement

Serve as the front-line representative to ensure a welcoming and supportive resident experience.

  • Respond to leasing inquiries and coordinate property viewings.
  • Conduct property tours and showcase available suites to prospective residents.
  • Handle all phone and walk-in inquiries professionally and courteously.
  • Maintain a strong understanding of suite layouts, amenities, and the surrounding community.
  • Prepare welcome packages and coordinate move-in and move-out logistics, including elevator bookings where applicable.
  • Assist in conducting inspections for move-ins, move-outs, and suite turnovers.
  • Maintain tenant satisfaction through consistent communication and positive relationship-building.

Lease Administration & Documentation

Support accurate and timely leasing processes through documentation and system updates.

  • Process and manage leasing documentation including applications, Tenancy Agreements, renewals, and notices.
  • Ensure timely deposit collection and accurate data entry in Yardi.
  • Maintain up-to-date resident records and manage privacy-compliant documentation.
  • Oversee parking assignments, visitor pass distribution, and related logs.
  • Coordinate sublets, assignments, co-tenant updates, and administrative changes.

Property Operations & Administrative Support

Provide essential support to site operations and property management.

  • Support the Community Manager and Regional Property Manager with administrative duties.
  • Create, receive, and reconcile purchase orders.
  • Maintain an organized office environment and manage office-related tasks.
  • Address tenant issues, complaints, and emergencies promptly and professionally.
  • Assist in rental arrears follow-up through reminders, phone calls, and onsite visits.

Sustainability and Community Engagement

Contribute to the property’s sustainability goals and community involvement.

  • Participate in charitable and community-building events.
  • Support the implementation of sustainability and engagement initiatives.
  • Embrace BGO’s commitment to environmental, social, and corporate responsibility.

Who You Are

  • Education: A College or University education in a business field would be considered an asset.
  • Experience: A minimum of two (2) years of relevant work experience in a busy client facing environment is required. Property management experience an asset.
  • Knowledge of the Residential Tenancies Act and Residential Lease Agreements an asset
  • Attention to detail and accuracy, good judgment, communication skills (listening, verbal and written), initiative and creativity, excellent oral and written communication and presentation skills; ability to develop and sustain cooperative working relationships with prospects, residents and internal staff.
  • Ability to allocate one’s time effectively, work under pressure and manage tight deadlines; ability to achieve quality results; ability to handle multiple demands and competing priorities, and adapt to new ideas and constant changes; ability to use initiative and self-managing skills to work independently with minimal direction and respond effectively to issues that arise.
  • Computer Skills – Skills in Excel, Word, Outlook; familiarity with Yardi or other customer relationship management (CRM) system is an asset.
  • Availability - Evening and/or weekend work may be required at certain locations.
  • Police Clearance – A criminal verification check is required for employment.
