Job Summary
The Operations Manager, under the direction of the Area Director, oversees the day to day branch operations and supports the administrative team. S/he manages and maintains all technical support at the branch level including the management of electronic devices.
S/he also supports and actively participates in risk management activities, the internal auditing programs, ISO audits and supports business development/marketing activities as appropriate. S/he ensures alignment with strategic direction provided by the Area Director and the National Development Centre.
Duties And Responsibilities
College Diploma in Health Care related field, University Degree in business is preferred.
Experience
At least five (5) years of recent experience in Office Management; two of which were at a Supervisory level.
Strong track record of performance and knowledge or exposure to business operations business development, and financial management.
Experience in a home care operations capacity an asset.
Highly proficient Microsoft Office including Power Point and Excel.
Information Systems working knowledge and scheduling software, such as Procura is an asset.
Proficient knowledge and understanding of basic Accounting processes
Adept at conducting research into related issues and products. Must be able to learn, understand, and apply new technologies.
Proven ability to effectively prioritize and execute tasks in a high in a pressure environment is crucial.
Other Skills And Abilities
Exceptional interpersonal skills and ability to handle difficult situations in an objective consistent format, ability to work independently and as a part of a team, excellent coaching skills and commitment to continuous learning, above average communication and problem solving skills.
Strategic, high energy, positive, holds strong ethics and is good at relationship building.
Internal candidates with less academic preparation must have a demonstrated track record of achievement relating to accounting and office management and have consistently shown above average initiative and a solid history of performance.
Successful internal candidate must complete a six month probationary period specific to the Operations Manager position.

Job Summary

Duties And Responsibilities
- Assisting in the collection of required reports for the Management Review meetings.
- Participate in the development and management of the annual budget and audit.
- Assist with business development and marketing activities
- Lead the sales process, from lead generation and qualification to closing the sale and finalizing the agreements
- Grow existing and develop new networks of referral sources, including but not limited to: health care social workers, hospital discharge planners, assisted living and retirement facilities, rehabilitative facilities, physician offices, pharmacies, financial and estate planners, and other relevant community partners servicing seniors
- Manage the process of converting leads into new clients, including by not limited to: documentation within Bayshore’s approved CRM and other technology systems as required
- Initiate, schedule and conduct consultations and assessments with prospective and existing clients and any members of the circle of care. Document and communicate respective consultation, assessment and service agreements and share with care team as required
- Travel as required to meet with referral sources and prospective clients and their circle of care
- Assist with office operations including space allocation, scheduling, and workload coordination to maximize effectiveness and efficiency
- Tracking and tending the implementation of follow-up actions as identified through the internal audits and Management Reviews
- Maintain device inventory. Branch level IT support for field staff and office staff when needed
- Process Accounts Payable
- Liaison with all Branch property managers
- Develop and revise branch policies and procedures
- Managed and ensured the effective use of company resources in all operations
- Improve operational systems, processes and policies, specifically, reporting, Information flow, business processes and organizational planning
- Manage and increase the effectiveness of services through improvements to each function as well as the coordination and communication between support and business functions
- Assisting in the collection of required reports for the Management Review
- Maintains confidentiality of client and corporate information and discusses same only with appropriate Bayshore personnel
- Complete other tasks as requested
