Schedule: Monday – Friday, 8:30 a.m. – 4:30 p.m. (on-site, with occasional hybrid flexibility after probation)
To keep our office running smoothly as we scale, we’re hiring an Office Operations Coordinator who will be the go-to person for day-to-day administration, basic tech troubleshooting, and client-facing support. This is a hands-on role for someone who enjoys wearing multiple hats and takes pride in keeping people, processes, and projects on track.
- Front-line support: Greet visitors, answer incoming calls, and manage general inbox enquiries.
- Office administration: Order supplies, coordinate couriers, book boardrooms, and maintain a tidy, professional workspace.
- Basic IT & systems: Set up laptops and user accounts for new hires, liaise with our managed-service provider for any escalated issues, and keep internal SharePoint folders organized.
- Billing & expenses: Prepare weekly client invoices, track vendor bills, and reconcile employee expense reports for approval by the Finance Lead.
- Event coordination: Arrange occasional client lunches, quarterly team outings, and in-house training sessions.
- Process improvement: Document procedures, suggest efficiency tweaks, and help management maintain compliance with privacy and data-security guidelines.
- 1–3 years of experience in office administration, customer service, or a related role.
- Post-secondary diploma or certificate in business administration (or equivalent practical experience).
- Solid MS Office / Microsoft 365 skills; comfortable learning new software tools quickly.
- Friendly, professional communication style—written and verbal.
- Strong organizational skills; able to juggle shifting priorities without missing deadlines.
- Basic knowledge of office IT (printers, Wi-Fi, user account setup); formal tech background is not required, but curiosity and problem-solving ability are a must.
- Ability to lift up to 25 lb (e.g., paper boxes, small office equipment) on occasion.
