Job Description
At IPS, we are global leaders in developing innovative solutions for the consulting, architecture, engineering, project controls, procurement, construction management, and CQV of technically complex facilities, primarily in the life sciences industry. We are looking for a talented Operations and Canadian Marketing Coordinator to join our team at our office located in Vaughan, Ontario.
The Operations and Canadian Marketing Coordinator will be responsible for overseeing day-to-day business operations while managing and executing key marketing initiatives. This dual role requires someone with a strong understanding of operational workflows and the ability to create and implement marketing campaigns that enhance the company’s visibility and market share.
The ideal candidate will have a background in both operations management and marketing, with the ability to prioritize tasks, manage projects efficiently, and contribute to both operational success and brand growth.
Full-Time Contract Role, 18 months leave coverage

Qualifications & Requirements
Key Responsibilities:
Operations Management
- Oversee the day-to-day operations of the business, ensuring efficiency and productivity across various teams and departments.
- Develop, implement, and refine operational processes to streamline workflow and reduce operational bottlenecks.
- Coordinate cross-functional teams to ensure smooth execution of projects, timelines, and budgets.
- Ensure compliance with company policies, regulations, and industry standards.
- Oversee daily office operations to ensure efficiency and productivity
- Maintain office supplies and inventory, reorder as needed
- Organize and maintain filing systems (physical and digital)
- Manage incoming and outgoing mail and deliveries
- Plan and organize team-building events and staff appreciation initiatives
- Support marketing strategies to enhance brand awareness and drive customer engagement.
- Support digital marketing campaigns, including email marketing, social media, and content marketing.
- Analyze marketing data and customer insights to optimize marketing efforts and improve ROI.
- Work closely with the Leadership team and US marketing team to align marketing strategies with customer needs and market trends.
- Oversee the creation of marketing content, such as blog posts, social media updates, and promotional materials.
- Manage the marketing budget and ensure effective allocation of resources.
- Track and report on the performance of marketing campaigns, making adjustments as necessary to achieve business goals.
- Act as a key liaison between the operations and marketing teams to ensure alignment on overall business goals.
- Lead, mentor, and collaborate with internal teams to foster a positive and results-driven work environment.
- Stay up to date on industry trends, tools, and technologies to ensure the company is leveraging the latest strategies.
- Minimum of 3-5 years of experience in operations management and/or marketing.
- Strong communication and interpersonal skills with the ability to collaborate effectively across teams.
- Proficient in Microsoft Office Suite (Word, Excel, etc.) and Adobe Creative Suite (InDesign, Photoshop, etc.), with the ability to apply these tools effectively in a professional setting.
- Strong understanding of both operations and marketing best practices.
- Experience with marketing automation tools, social media platforms, and analytics tools.
- Excellent project management skills, with the ability to manage multiple initiatives simultaneously.
- Analytical mindset with the ability to use data to drive decision-making.
- Ability to thrive in a fast-paced, dynamic work environment.
