We’re looking for an enthusiastic, action-orientated, results-driven coordinator to support our Marketing department’s Content and Design teams. The Content and Design Project Coordinator is a vital role, reporting directly to the Manager of Content Strategy and Operations. This temporary full-time position is responsible for overseeing and coordinating large-scale content and design projects, ensuring seamless workflows and maintaining high-quality standards across all deliverables. In this role, you’ll manage project intake processes using Monday.com, create and maintain workback schedules, and liaise with internal requestors and team members to meet project deadlines.
Some of your key responsibilities include assisting in resource allocation, workload management and project management. You’ll also be collaborating with writers, editors, graphic designers and other team members to ensure high-quality content production and performing quality assurance and proofreading of content deliverables. You’ll also monitor project progress and provide regular status updates to stakeholders, playing a crucial role in maintaining effective communication and ensuring project success.

WHAT YOU WILL DO:
Project management:
- Coordinating large-scale content and design projects.
- Responsible for liaising with stakeholders on projects and obtaining approvals.
- Creating workback schedules and managing project timelines and deliverables, ensuring project deadlines are met. Adjusting schedules as needed to accommodate changes.
- Content workflow optimization.
- Monitoring project progress and provide regular status updates to stakeholders.
- Assist intake manager with project intake for Content and Design using Monday.com. Includes form creation and management.
- Work with Content and Design managers to assign appropriate team members to projects.
- Negotiation of timelines and deliverable expectations with stakeholders. Candidate needs to be able to push back when needed with diplomacy.
- Collaborate with writers, graphic designers and other team members to ensure high-quality content production (e.g. proofreading) that link brand and demand.
- Liaising with internal requestors from various business units to understand project requirements.
- Advising stakeholders across different departments on project timelines, milestones and deliverables, ensuring alignment with organizational goals and timelines.
- Collaborating with content specialists and designers via regular check-ins to ensure smooth project execution, providing guidance on project timelines, quality standards and workflow optimization.
- Analyzing project requirements and creating efficient workback schedules.
- Optimizing content and design workflows.
- Resolving resource allocation conflicts and adjusting timelines.
- Interpreting and prioritizing competing project requests.
- Addressing scheduling conflicts, quality concerns and workflow inefficiencies across multiple projects.
- Bachelor’s degree or diploma in Marketing, Communications or related field preferred or corporate environment (preference for agency experience).
- Certification in project management not required but would be an asset (PMP, CPM, PPM).
- Strong organizational and project management skills and the ability to prioritize tasks effectively to meet deadlines.
- Demonstrated success in managing projects from concept to completion, ensuring timely delivery and impactful results.
- Proficiency in Monday.com or similar project management tools.
- Proficiency in Adobe Creative Clouds programs is an asset but not required.
- Excellent communication and interpersonal skill with proven experience in client management and relationship-building.
- Excellent time management skills: Ability to manage multiple projects simultaneously and meet deadlines.
- Attention to detail and strong organizational skills.
- Experience with content management systems and digital asset management.
- Proficiency in Microsoft Office (Word, PowerPoints, Excel and Outlook).
