Receptionist

Northern Strands is currently recruiting to fulfill the role of a Receptionist. The Receptionist provides administrative support to the Northern Strands Group of Companies (NSGC) by answering phones and greeting customers, vendors, and visitors. This role is the first contact customers have with NSGC, and the interaction is expected to be professional, welcoming, and helpful. The Receptionist must display a positive and professional attitude in all communications.

DUTIES & RESPONSIBILITIES:
- Answer all daily calls and manage a multi-line telephone system in a professional manner
- Relay, retrieve and distribute messages in a timely fashion and to appropriate personnel
- Screen calls to ensure callers are connected to the appropriate contacts
- Arrange for backup coverage when away from station
- Greet all visitors and customers in a professional manner
- Ensure visitors sign in/sign out using the Visitor Logbook
- Mail management
- Manage incoming/outgoing mail with courier delivery service
- Open daily incoming mail, stamp, and sort for distribution
- Monitor available postage on postage meter and replenish, when necessary
- Maintain postage meter ink levels
- Prepare and post outgoing mail
- Make address labels for outgoing mail
- Update and maintain stock levels for return address labels
- Manage postage rate changes as per Canada Post
- Provide support and assistance to the Business Administrator
- Monitor office supplies in both supply rooms and set up weekly orders on Staples eway account for approval
- Receive Staples orders and ensure appropriate quantities of items are received
- Organize and stock office supplies in the supply rooms
- Monitor coffee supplies and draft order request for approval
- Receive coffee supply orders and ensure appropriate quantities of items are received
- Organize items and coffee supplies in the lunchrooms
- Copiers
- Place service calls with Toshiba for copiers, when required
- Place supply refill orders with Toshiba upon receiving instructions from IT Coordinator
- Filing
- File and retain copies of supplier test certificates for Logistics, Saskatoon Warehouse, and Regina Warehouse
- Assist with filing order desk documentation (i.e. invoices, purchase orders, payments, transfer slips, assembly forms, etc.)
- Create anchor sling tags for order desk using predefined template
- Monitor and forward critical emails received in the Company Info/Inquires inboxes to appropriate parties in a timely manner
- Manage IBC voicemail for reception to ensure message inbox does not get full
- Update and maintain the procedures reference manual for the reception position, as required
REQUIRED EDUCATION, EXPERIENCE & SKILLS
- Minimum Grade 12 or equivalent
- Minimum one year of similar work experience or Administrative Assistance Diploma
- Proficiency in Microsoft Office applications (Outlook, Word, Excel)
- Ability to communicate clearly, both written and verbal
- Strong time-management skills; ability to work well under pressure and manage in-person customers and high call volumes
- Strong organizational skills with attention to detail
- Possess a positive and professional attitude, set a high standard, and convey professionalism at all times
- Customer service-oriented disposition
- Ability in handling competing priorities simultaneously
