Position Description
Reporting to the Facilities Manager, the Receptionist will undertake a wide variety of day-to-day administrative tasks to ensure our Canada Headquarters run smoothly and efficiently while providing administrative support to the Vice President of Finance and the Vice President of Recruiting, Training and Talent (HR).
This role requires a high degree of professionalism, the ability to exercise good judgement in a variety of situation, strong organizational skills, tact, discretion, attention to detail, while potentially dealing with multiple priorities. The ideal candidate for this role will be well organized, professional, have great communication skills and a “can do” attitude.

Position Description

What You Will Do
- Manage the reception desk during your work hours
- Greet and welcome visitors in a warm and professional manner
- Perform a variety of administrative and clerical activities
- Address inquiries from clients, customers, and staff members as received
- Answer and direct all incoming phone calls
- Support new employee onboarding process
- Update corporate directories
- Collaborate with Facilities Coordinator to process courier shipments
- Manage and coordinate the Vice-Presidents’ calendars, as requested
- Process Vice-Presidents’ expenses and benefit claims, as requested
- Coordinate travel arrangements and reservations for the Vice-Presidents
- Coordinate and schedule internal and external meetings, appointments, and teambuilding events, including catering requirements
- Process invoices for payment and track as required
- Work collaboratively, and treat respectfully, other team members and leadership
- 3-5 years’ related experience
- Strong organizational and time management skills
- Strong sense of urgency and ability to multi-task
- Creative and innovative problem solver
- Strong written and verbal communication skills
- Ability to manage confidential information with appropriate sensitivity
- Intermediate Microsoft skills including PowerPoint, Excel, Word, and Teams
- Experience with Concur
- Experience with Adobe Suite programs is an asset
- Experience with Microsoft Power BI is an asset
- Ability to lift up to 25 lbs
