We are seeking a Senior Administrative Assistant to support our Chief Investment Officer and the Investment Team, based in our Vancouver office. The successful candidate is organized, detail-oriented, able to manage multiple competing priorities in a fast-paced environment. They are a flexible, dependable, and collaborative team player with excellent communication skills, professionalism, and the ability to quickly adapt to changing demands while maintaining focus and accuracy.
This is a wide-ranging role that directly supports the Chief Investment Officer (CIO) and the Investment team. Reporting to the Executive Assistant to the CEO, the successful candidate will become an integral part of a fast-growing investment firm and thrive in a cross-functional environment. They will enjoy serving as a key liaison for the team, contributing to events and the day-to-day operations of the office.
Responsibilities will Include:
- Working directly with Pender’s Chief Investment Officer and Investments team with business-as-usual responsibilities as well as special projects.
- Key responsibilities include managing calendars and meetings, coordinating communication across teams, and ensuring follow-through on key deliverables.
- Booking Investment team travel and liaising with Sales teams around roadshow meeting schedules and logistics.
- Managing client material preparation with Portfolio Managers, coordinating timelines, deadlines, and communications across departments.
- Supporting internal and external Investment meetings (online and in person); managing logistics and providing technical support.
- Building strong relationships with internal and external stakeholders.
- Assist the Executive Assistant to the CEO with various projects, support the administrative team, and provide backup coverage during team members’ absences.
- Actively contribute to the planning, coordination, and execution of internal events that support employee engagement, culture-building, and strategic initiatives. Responsibilities include assisting with managing logistics such as venue booking, catering, supplies, and liaising with internal stakeholders and external vendors.
- Manage audiovisual (AV) setup during events, including operating presentations, virtual meeting platforms (e.g., Zoom, Teams), microphones, and projection equipment.
- Working in office 4 times per week.
Skills and Qualifications
- Minimum 3+ years of administrative/executive assistant experience.
- Excellent proficiency with MS Office, particularly in Excel, PowerPoint and SharePoint.
- Knowledge of Zoom, Slack, DocuSign, Slido and Certify an asset.
- Strong communication skills, both written and verbal.
- Experience booking corporate travel within North America and International.
- Focus on details; complete tasks thoroughly and accurately.
- Self-starting attitude; the ability to prioritize, multitask and work within time constraints.
- Team oriented and enjoy working in a fast‐paced environment.
- Excellent interpersonal, judgment and decision-making skills.
- The ability to receive direction from multiple individuals and deliver concurrent projects.
- A resourceful, conscientious approach with the initiative to identify areas for attention.
- IT skills and the ability to troubleshoot technical issues in real time to ensure smooth onsite execution.
- Flexibility to work outside of regular office hours on occasion.

We are sharing that the estimated salary range for this position is $60,000 - $70,000 per year. In determining final salary, Pender considers many factors including the candidate’s qualifications, relevant experience, job responsibilities, market conditions, position location and internal equity. Our aim is to ensure fair compensation practices that align with industry standards while acknowledging the unique value and expertise each individual brings to the role. The final base salary for the offer will be presented as part of a competitive compensation package.
