We are looking for a highly motivated Senior Property Administrator to join our retail team located at Yorkdale Shopping Centre in Toronto.

In this role, you will be responsible for lease administration, accounts receivable and overall support the Manager, Property Administration and Property Management team.

As a member of this team, you will be responsible for:

Financial Reporting

  • Assisting with the preparation and analysis of budgets, forecasts and budget files
  • Prepare monthly accruals
  • General ledger account reconciliations

Lease Administration

  • Ensuring all legal documents are entered into JD Edwards system in a timely manner
  • Determination of billing rates
  • Area adjustments
  • Tenant chargebacks
  • Process monthly rent billings
  • Process and track tenant allowances
  • Process annual prebills system updates
  • Tenant welcome packages
  • Accounts Receivables (AR): updating/creating analysis for accounts receivable balances, arrears collection, weekly reporting on status of AR collections
  • Respond to tenant inquiries
  • Prepare and send demand & default notices-as needed
  • Maintaining tracker recovery rates/analysis
  • Assisting with preparing and distribution of year-end adjustments packages
  • Assisting with head office inquiries and audit requests
  • Percentage rent billing and estimates
  • Overseeing documentation of departmental processes
  • Providing coverage for absent team members
  • Additional administration duties as required

Other

  • Providing administrative support to Yorkdale management and Head Office accounting and legal departments, including but not limited to budgeting, tracking of costs, tenant and lease information, and property information
  • Other administration duties as required

To Succeed In This Role, You Have

  • A minimum of 3-5 years of experience in shopping center administration, with a focus on lease administration, accounting, credit and collections
  • Completed a post-secondary degree/diploma in a related field
  • Strong communication skills, both verbal and written
  • A high attention to detail
  • Previous experience using JD Edwards is considered an asset; the ability to learn and quickly grasp new technology/systems is required
  • Proficiency using Microsoft Office applications (Word, Excel, Outlook, etc.)
  • Thrive in a fast paced, high-volume work environment that constantly evolves and adapts
  • Embrace collaborative sharing of knowledge within a team environment
  • Driven to achieving results and continuously striving to deliver highest performance through creative thinking
