About the role:

Reporting to the Vice-President of Production, the Travel and Immigration Specialist ensures the effective planning, coordination, and execution of all activities related to local and international travel, as well as immigration procedures for technicians, production team members, and occasionally other members of the organization. Working closely with production teams, travel agencies, and Human Resources, this person plays a vital role in ensuring the smooth running of travel-related activities for production events.

Main Responsibilities:

  • Develop business relationships and clear communication channels with travel and accommodation service providers.
  • Manage work visa applications, temporary permits, and other entry documents required by different countries.
  • Ensure compliance with local immigration laws.
  • Monitor and report on the travel and immigration budget.
  • Collaborate with immigration lawyers and government authorities as needed.
  • Maintain a database of visas and work permits, taking into account deadlines and validity dates.
  • Apply and maintain travel policies, provide updates on ongoing procedures, and inform team members of possible restrictions.
  • Manage emergencies or unforeseen events (cancellations, loss of documents, etc.).

Requirements and Qualifications:

  • Diploma in management, tourism, immigration, or a related field (or equivalent experience).
  • Minimum 3 years of experience in coordinating international travel and/or managing immigration files.
  • Knowledge of the live entertainment or event production industry (an important asset).
  • Excellent command of French and English, spoken and written.
  • Ability to manage multiple projects simultaneously under tight deadlines.
  • Strong organizational skills, administrative rigor, and attention to detail.
  • Familiarity with current market reservation tools.
  • The person must be able to communicate in English (written and oral) since we have employees outside Quebec.
