Who are we looking for?

Our office in Mississauga, Ontario is looking for a friendly, energetic and customer-centric Receptionist to join us on a full-time permanent basis. The role will involve general office support and working closely with our staff across several different lines of business with opportunities for career growth. The responsibilities and duties are outlined below.

Working with an energetic and high performing team, this position offers a variety of work and will see you involved in:

  • Greet, assist, and direct clients and visitors; assist with the sign-in/out process.
  • Provide excellent customer service to clients, visitors, and staff by responding to questions and directing calls
  • Be stationed at front desk to provide continuous service to clients, visitors, and staff.
  • Build strong positive relationships while interacting with clients, visitors, and staff as well as Information Systems staff
    • Provide office tours to new staff.
    • Support new staff in accessing GHD systems.
    • Assign and distribute office access cards, both temporary cards for visitors and permanent cards for office staff. Coordinate with and report to the Office Manager on the tracking of assigned access cards.
    • Distribute communications to office staff to provide notifications, reminders, and alerts.
    • Initiate requests for office Information Systems maintenance/repairs, including internet outages.
  • Support a safe office environment
    • Support office Joint Health and Safety Committee.
    • Complete updates to the office Emergency Response Plan.
    • Initiate review and approval by Joint Health and Safety Committee Chair.
    • Completing monthly office inspections, complete documentation, and advise Joint Health and Safety Committee – Safety Captain of results, including actions required.
    • Act as Zone Captain for office evacuation.
  • Coordinate with GHD suppliers/vendors, and office property management to support the management of the office
    • Coordinate with corporate maintenance team for repairs and upgrades. Provide office staff notice, as appropriate, of maintenance work.
    • Coordinate with property management company, including distribution of office building information to GHD office staff and booking of building boardroom.
    • Coordinate office access card provider.
    • Coordinate office plant service provider and other operational service providers, including review and approval of invoices.
    • Coordinate printer repair contractor.
  • Provide administrative support for the Mississauga office
    • Ensure office supplies, lunchroom supplies, and sundries are in ordered, stored, distributed, and tidied as required.
    • Ensure print room is adequately stocked and tidy.
    • Ensure lunchroom is tidy. Run and empty dishwasher as required to maintain adequate supply of dishes and glassware.
    • Check and collect mail from building mail room
    • Order and coordinate office snacks/lunch/meals as required
    • Book meeting rooms in the office upon request. Support staff with the resolution of booking conflicts.
    • Arrange and coordinate with couriers
    • Support office Social Committee with event planning, set-up, execution, and post event tidying.
  • Support project teams as required
    • Support deliverable preparation, including compiling and formatting letters, reports, and memoranda, etc.
    • Coordinate with project managers to update project and opportunity data in tracking systems.
    • Provide quality management tracking and task completion acknowledgement to project teams, as requested.
  • General office administration support and project supported as needed

What You Will Bring To The Team

  • Minimum 1-3 years of professional office experience required
  • High School Diploma
  • Professional attitude and approach is a prerequisite
  • Excellent interpersonal and communication skills
  • Interactive, energetic, and engaging personality
  • Experience using the Adobe & Microsoft suite of applications (MS Teams, Outlook, Word, Excel)
  • Must be able to work in office 40 hour work week; 8:00 a.m. to 5:00 p.m. Monday to Friday.
